Keeping Your Information Safe and Sound


Holland Properties takes your personal information seriously. We use industry-standard security measures to protect your data from unauthorized access. Personal records are kept under lock and key, in an alarmed facility. Electronic files are password protected. Your personal information is available only to authorized personnel. All information is held on file as per Oregon Law and the Oregon Real Estate Board. Files are destroyed at the appropriate time by shredding and/or the erasing of electronic media.



What Information We Collect:


  • Tenants: When you're looking for a place to call home, we'll need some information like your name, phone number, email address, rental history (including prior addresses, landlord references, and eviction records, where applicable), and credit report (we'll ask for your permission first, of course). We also collect payment information, but don't worry, it's processed securely through our online portal. We never actually see or store your bank account details.
  • Property Owners: If you're entrusting us with your property, we'll need similar information, including your name, phone number, email address, and tax ID. We'll also need your bank account information for payments, but just like with tenants, it's handled securely, and we don't have access to the details. We'll also need proof of ownership of your investment property (e.g., deeds, property tax statements), naturally.



How We Use Your Information:


  • Tenants: We use your information to process your application, keep in touch about your property (lease terms, maintenance, access), collect rent, handle maintenance requests, and make sure we're following all the rules and regulations.
  • Property Owners: We use your information to manage your property, send you your rental income, keep you updated on how your property is doing (financial reports, occupancy rates, maintenance updates), and, of course, stay compliant with all legal requirements.



Who We Share Your Information With


We sometimes need to share information with trusted partners who help us run our business smoothly:


These include third-party service providers who we rely on to operate our business (e.g., background check companies, payment processors, property management software providers) and maintenance companies whom we trust to keep properties in tip-top condition. We also share credit information with credit bureaus (again, only with your consent) for tenant screening.


Finally, we may need to share information with legal authorities (law enforcement, government agencies) if required by law. We will never sell your personal information to anyone.

If you choose to receive text message updates from us, we want you to know that your phone number will only be used to send you important information about your property, maintenance, account, or other relevant updates. These messages may include appointment reminders, service updates, payment confirmations, property access details, and follow-ups. Marketing messages require your opt-in. Message frequency varies.
